Collabry Software and Information Inc. ("we", "our", or "us") operates the Tutanak Yönetim Sistemi (Record Management System) mobile application ("App"). We are committed to protecting your personal data. This Privacy Policy describes what information we collect, how we use it, and your rights regarding your data.

1. Information We Collect

We collect the following information when you use our App:

Account information: When you register, we collect your email address, phone number, and full name (first and last name). This information is required to create and manage your account.
Usage data: We may collect anonymized usage statistics (e.g., in-app interactions) to improve the App and fix issues. We may use analytics tools such as Google Analytics and/or PostHog for this purpose.
Device information: We may collect device type and operating system version to ensure the App works correctly on your device.
Tutanak (Record) data: We collect the tutanaklar (records) you create, including photos, location information, descriptions, and other content you add.
Media files: Photos and voice recordings you attach to your tutanaklar.

2. Camera and Photo Library Access

The Tutanak Yönetimi app requests access to your device's camera and photo library to enable visual documentation during the record creation process.

Why Do We Need These Permissions?

Camera Access: We need camera access so you can take photos on-site at construction sites, projects, or workplaces. The photos you capture are directly attached to your records and help document your work processes.
Photo Library Access: We request access to your photo library so you can add previously taken photos to your records. This allows you to select existing images from your gallery to enrich your records.

What Data Is Collected?

Only the photos you select or capture are collected and uploaded to our servers. We do not access your entire photo library; only the images you choose to add to your records are processed.

How Are Your Photos Used?

To add visual evidence and documentation to your records
To display photos in your PDF reports
To share your work processes with team members and managers

Data Security

Your photos are uploaded and stored on our secure servers (Supabase) over encrypted connections (HTTPS). Only you and the people you authorize (company members) can access your photos. Your photos are not shared with third parties or used for advertising purposes.

3. How We Use Your Information

We use the information we collect to:

Create and manage your account and authenticate your identity.
Securely store and display your tutanaklar (records) and related data.
Enable you to create tutanaklar with photos, location information, and AI-assisted descriptions.
Manage subscriptions and payments (processed through the Apple App Store or Google Play Store).
Improve the App, detect and fix errors, and comply with legal obligations.
Contact you when necessary (e.g., support, important updates).

4. Data Sharing

We do not sell your personal data to third parties or share it for advertising purposes. We may share your data only in the following cases:

Supabase: We use Supabase for database and authentication services. Your data is stored on secure servers.
Apple / Google: Subscription and payment processing are handled by Apple (App Store) and Google (Play Store) under their respective terms and privacy policies.
Analytics: We may use anonymized usage statistics (e.g., Google Analytics, PostHog) to improve the App.
Legal requirement: We may disclose data when required by law or in response to valid requests by public authorities.

5. Data Sharing with Artificial Intelligence (AI)

When you use the "Edit with AI" feature in the Tutanak Yönetimi app, the record description text you write and (for title suggestions) the related text are sent to the Gemini AI service operated by Google LLC in order to provide this feature. The data sent is limited only to the text you have written; it is processed to convert it into record format and to suggest titles. Before you use this feature, an explanation is shown in the app and your consent is obtained. If you do not wish to share your data for this purpose, you may choose not to use the "Edit with AI" feature or revoke data sharing consent from the Profile screen. 6. Data Security

Your data is transmitted over encrypted connections (HTTPS) and stored on secure servers. Access to personal data is limited to authorized personnel and only for the purposes described in this policy.

7. Your Rights

You have the right to:

View and update your account and personal information within the App.
Request deletion of your account and associated personal data (e.g., via Profile → Close My Account in the App).

8. Children

The App is not intended for users under 18 years of age. We do not knowingly collect personal data from children under 18. If you believe we have collected such data, please contact us and we will delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make significant changes, we may notify you through the App or by email. The current version will always be available at this page (and/or via the link in the App).
